Job Title: Office Administrator – Construction & Building Services
Location: Oxfordshire (Office-Based)
Hours: Monday to Friday, 8:00am – 6:00pm
Salary: Competitive, based on experience

Reports To: Operations Manager / Company Director
About the Role
We are seeking a proactive, organised, and detail-oriented Administrator to join our team at our Oxfordshire office. Working within a busy construction and project management environment, you will provide essential administrative support to ensure the smooth and efficient running of day-to-day operations.
You will assist project managers, liaise with clients and contractors, maintain accurate documentation, and help coordinate schedules, payments, and compliance. This is a key role within the company that supports both internal teams and customer-facing processes.
Key Responsibilities
- Provide day-to-day administrative support to project managers, directors, and office staff
- Manage and maintain digital filing systems, project records, and documentation
- Coordinate appointments, schedules, and site visit arrangements for project teams
- Liaise with clients, builders, and suppliers by phone and email in a professional and timely manner
- Prepare invoices, payment requests, and track payments using internal systems
- Support onboarding and compliance checks for subcontractors and new clients
- Monitor email inboxes, distribute tasks, and track project progress against deadlines
- Assist in drafting contracts, quotations, and official correspondence
- Update CRM systems and project tracking tools to maintain workflow visibility
- Ensure health & safety documents and insurance certificates are current and correctly filed
- Provide general office support such as ordering supplies, answering calls, and handling mail
Qualifications & Experience Required
- Previous experience in an administrative role (ideally in construction, trades, or property services)
- Excellent organisational and multitasking skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with Xero, Buildertrend, or CRM software is a plus
- Strong communication skills, both written and verbal
- High level of attention to detail and accuracy
- Ability to work independently and manage multiple priorities
- A positive, team-oriented attitude and willingness to learn
- Familiarity with construction processes, terminology, or compliance is beneficial but not essential
